OS: Client Experience

An overview of what your clients see in Theia

When your practice runs on Theia OS, your clients get a client app built around their care with you. It's where they see upcoming appointments, message your team, pay invoices, and find anything you've shared with them. This article gives you a high-level view of that experience, so you know what to expect when you work with clients in the OS.

Which experience does my client get?

Every client of your practice gets the OS client experience. The only difference is whether they also use Theia's metabolic products (AI Nutrition, Bring Your Own Sensor, or biosensors). This is set automatically, so you don't need to configure anything.

Standard OS clients

Clients who don't have any AI Nutrition subscription, Bring Your Own Sensor (BYOS) subscription, or sensor orders. Their menu includes:

  • Care Hub, Inbox, Schedule, Billing, Documents & Notes, Support, and Settings (Account, Notifications)

OS clients with metabolic products

Clients who have AI Nutrition, BYOS, or a sensor order. This includes expired products, so clients who used them in the past keep access to their history. They get everything standard OS clients get, plus Theia's metabolic pages:

  • Home, Analysis, Goals, Reports, and Orders & Subscriptions

  • Connect Wearables in Settings

  • Clients using biosensors (sensor order or BYOS) also get Connect CGM and sensor Onboarding

What clients can do

Care Hub: the OS client's home screen. It brings together what needs their attention and when they're seeing you next, pulling from their other pages.

Inbox: clients can message your practice in-app. Their messages arrive in your Unified Inbox alongside email and SMS, so your team replies from one place.

Schedule: where clients see their appointments with your practice.

Billing: where clients find payments to your practice, such as invoices and receipts.

Documents & Notes: one place for the notes and documents your team shares with the client.

Metabolic pages (OS + Metabolic): glucose, wearable data, sensor orders and subscriptions.

Settings: clients manage their account details, notification preferences, and (for metabolic clients) device connections.

How your work reaches clients

Most of what clients see comes from what your team does in the OS:

  • Appointments you book, reschedule, or cancel show up on the client's Schedule

  • Messages you send from the Unified Inbox or a client's record arrive in their Inbox

  • Notes and documents you share from the Client Record Profile appear in Documents & Notes

  • Invoices you send appear in Billing for the client to pay

Clients also get notified of key updates, based on their notification preferences.
